Executive Administrator

As a critical member of our team, the Executive Administrator will be the administrative support for the leaders of Mosaic Learning. The successful candidate will possess excellent administrative and communication skills, value attention to detail, and be able to handle a variety of activities and tasks. The position requires quality work and individual initiative, as well as a person who is exceedingly well organized, flexible, resourceful and efficient. A high level of professionalism and confidentiality is crucial in this role.

DUTIES & RESPONSIBILITIES

  • Provide administrative support to the President, CEO and COO, as well as HR and other departments
  • In combination with the Director of Accounting, provide some financial planning and analysis support to the Executive Leadership Team
  • Work with accounting on credit card statement substantiation, contractor invoice approvals and payments and employee reimbursements
  • Support HR with onboarding/offboarding programs and managing employee satisfaction
  • Coordinate with external IT on equipment inventory and employee’s software access
  • Assist with travel arrangements and aid in completing expense reports
  • Assist with general office administrative tasks such as ordering supplies, coordinating company events and lunches, and proofreading and editing documents
  • Responsible for heavy calendar management, requiring interaction with both internal and external customers, to coordinate a variety of complex meetings
  • Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, and monitoring progress
  • Review and summarize reports and documents, including client communications, proposals, and contracts
  • Manage multiple projects and follow through on issues in a timely manner
  • Other duties as assigned

EDUCATION and/or EXPERIENCE

  • Bachelor’s Degree or equivalent, in Business preferred
  • At least 2 years’ experience supporting at the executive level
  • Excellent communication skills, both verbal and written
  • Demonstrates being proactive in nature and shows a sense of urgency
  • Ability to keep information confidential
  • Proficient computer skills, particularly with Microsoft Word, Excel, and Outlook
  • The ability to follow directions, sometimes from multiple sources, and determine priorities
  • Flexibility and a willingness to perform other reasonable duties as requested, including willingness to adjust hours to accommodate after hours events/commitments
  • Highly organized, detail oriented and efficient
  • Ability to troubleshoot and problem solve independently
  • Demonstrates drive, enthusiasm, self-motivation and cooperative attitude

PHYSICAL DEMANDS & WORK ENVIRONMENT
While performing the duties of this job, the employee is regularly required to stand; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to walk; sit. The noise level in the work environment is low or quiet.
